Your employees must exist in Express Leave and Timesheets before they can register to use it.

If you are using Attaché 18 (or later) then you do not need to manually add employees to Express Leave and Timesheets. However, you must complete the steps for Connecting Attaché Express Leave and Timesheets to your Attaché Online organisation

Regardless of which version you are on, you'll need to assign a default approver for each employee. In addition, if you have contractors or other staff who are not included in your normal pay processing, you may wish to add them to Express Leave and Timesheets one by one, as described below, so they can submit online timesheets and leave requests.

Manually adding employees in Express Leave and Timesheets

If you are not using Attaché 18, you'll need to add your employees to Express Leave and Timesheets using either of these methods:

  • Add employees one by one, or
  • Import your employee details from your desktop payroll company (recommended if you have more than a handful employees)

To manually add an employee:

  1. Log on to Attaché Express Leave (https://leave.attacheonline.com/login).
  2. From the Company Admin menu, select Manage Users.
  3. Choose Create New User and enter the employee details, select a Default Approver and User Type.
    Note: If this employee is to be paid in your normal pay cycle you must also add this employee to your desktop payroll company (see Adding an employee). 
  4. Choose Save.

Employees who are added manually are automatically invited to register for Express Leave and Timesheets. 

Assigning approver status to an employee

When employee details are imported into Express Leave and Timesheets, the user carrying out the import becomes the default approver for all employee leave requests. However, you may wish to assign specific approvers for different employees (for example, you might want a team manager to be the approver for their team members.)

To assign approver status to an employee:

  1. Log on to Attaché Express Leave (https://leave.attacheonline.com/login).
  2. From the Company Admin menu, select Manage Users.
  3. Locate the employee and choose Edit.
  4. In the User Type field, choose one of the following options.
    • Employee (Approver)
    • HR Manager
    • Administrator
  5. Choose Save.
  6. Send a Welcome email to all approvers inviting them to register for Express Leave and Timesheets (see Inviting employees to use Express Leave and Timesheets below). You should do this prior to inviting non-approver employees, so that you can assign default approvers (as described in the next section).

Assigning a default approver to an employee

To assign a default approver to an employee:

  1. Log on to Attaché Express Leave (https://leave.attacheonline.com/login).
  2. From the Company Admin menu, select Manage Users.
  3. Locate the employee and choose Edit.
  4. In the Default Approver field, select the required approver from the list (if the required approver is not listed, check that they have been sent a Welcome email inviting them to register for Express Leave and Timesheets).
  5. Choose Save.

Tip: You can use the Import Attaché Data feature in Express Leave to create an import file to assign User TypesDefault Approvers and the Timesheets Enabled option. This is helpful for sites that have many employees, to save time having to manually configure these user parameters. You will need to be an Administrator user to perform the steps below:

  1. Follow the steps as for Create an export file of employee details from your desktop payroll company.
  2. Once the CSV file has been created, add two extra columns: UserType and DefaultApprover
  3. In the UserType column, assign a user type to each employee.
  4. In the DefaultApprover column, enter the employee code for those employees who you wish to nominate as a default approver.
  5. Save the changes to the CSV import file.
  6. Follow the steps as for Import employee details into Express Leave and Timesheets.
  7. Once the import has completed, check that the required changes have been updated correctly in Manage Users. 

If you have made a mistake, you can repeat steps 1-7.

Inviting employees to use Express Leave and Timesheets

To be able to make leave requests and submit online timesheets, each employee needs to register for Express Leave and Timesheets.

To invite an employee to register:

  1. Log on to Attaché Express Leave (https://leave.attacheonline.com/login).
  2. From the Company Admin menu, select Manage Users.
  3. Click the Send Welcome Email button.
  4. Express Leave sends an invitation email to the employee with a link to register.
